GO4ZERO Management Team Executive Assistant
We are seeking an individual to excel as a Project Management Team Executive Assistant. In this role, you will be the vital support to our Program Director as well as all the different workstreams Project Managers and drive efficiency and autonomy in various administrative and organizational functions. Your exceptional PowerPoint skills and creativity, proactive approach, and commitment to maintaining the highest standards of precision will be pivotal to the success of our projects.
Key Responsibilities:
Administrative Excellence:
- Develop and implement a systematic documentation and data storage system, ensuring easy access and retrieval.
- Exemplify your superior formatting skills by refining documents, such as contracts, memos, minutes, and reports, to meet professional standards.
- Facilitate seamless communication by providing translations and coordinating language-related tasks.
- Offer comprehensive administrative assistance to project members, including managing failures, duplications, and printing tasks.
- Provide permanent support to Project Management Team to manage day-to-day tasks to reduce impact of their administrative workload.
- Initiate and manage purchasing requisitions within SAP, based on specified requirements.
Organizational Mastery:
- Coordinate and manage general services, including office cleaning, installing well-being elements, transportation, accommodations, and small project-related purchases.
- You take care that services and goods reception are completed in due time, according to agreed procedures.
- Demonstrate your prowess in PowerPoint by drafting impactful presentations that capture essential project information.
- Efficiently organize meetings, orchestrating logistical arrangements like venue reservations, A/V setup, and participant coordination.
- Ensure accurate recording of project team meeting minutes, summarizing key discussions and action items, and supporting management in tracking decisions implementation and actions execution.
- Take charge of maintaining the project management members' calendars, streamlining scheduling complexities / Special focus to the management of the Program Director mailbox.
- Serve as the bridge between project team members and Holcim Group Support Ltd., facilitating smooth interactions with IT, HR, and Legal departments.
Secondary Contributions:
- Foster a positive atmosphere with your infectious positive attitude and unwavering confidence.
- Support the entire project team with various organizational matters, showcasing your team-centric approach.
Skills and Qualifications:
Education: High School completion
Languages: Fluent in French and English (mother tongue or advanced proficiency).
Experience: 5 years of administrative work experience with top executive. Involvement in a major industrial project is a plus.
Computer Skills:
- Proficient in MS Word, ensuring precise document creation and formatting.
- Skilled in PowerPoint and Excel, creating compelling presentations and managing data effectively.
- Familiar with Google suite for seamless communication and collaboration.
