JOB DESCRIPTION
This is position within the Business Operations team, with direct reporting line to the Call Manager. The selected candidate will work running calls for proposals and other calls launched by EIT Food like calls for evaluators or Prizes. The primary responsibility is to work with Call Manager to execute multiple, concurrent calls for proposals and participants, across the organisation.
The Call Officer should be detail-oriented, reliable, flexible and able to work in a fast-paced environment. Experience with Outlook, Sharepoint, Word, Powerpoint, Teams and Excel and comfort learning new technologies is essential. Excellent spoken and written English is required.
Specific Tasks:
The Call Officer´s specific tasks include, but are not limited to,:
- Working with Call Manager to execute multiple, concurrent calls for proposals and participants, across the organisation.
- Monitoring and continually updating the workplan for the Call Team
- Managing assigned processes g. Evaluation and Feedback to Applicants
- Managing Evaluation
- Maintain database of Evaluators (Sharepoint)
- Managing Calls for Evaluators (DreamApply)
- Resource management per Call (Excel)
- Contracting (Adobe Sign)
- Invoicing in cooperation with the Finance Department. (Excel)
- Managing Feedback to Applicants
- Writing/answering professional emails to external parties.
- Editing evaluator feedback reports
- Sending acceptance/rejection letters and feedback to applicants.
- Sending official notice of grant approval
- Scheduling multiple, concurrent meetings with internal, external staff and applicants. Manage meetings.
EXPERIENCE & SKILLS
- Bachelor degree or equivalent by experience
- Excellent written and oral communication skills in English
- Attention to detail; strong organisational and planning skills
- Comfortable managing complex requests and communicating to different stakeholders
- A pro-active and dynamic working attitude
- Ability to work under pressure and with strict deadlines
- Good knowledge of MS Outlook, MS Word/Excel/Powerpoint, comfortable learning new software
- Experience working with EU Grants is a plus

LOCATION & TRAVEL FREQUENCY
EIT Food HQ, Leuven (Belgium) with hybrid working.
Occasional travel within Europe.
